Invite and manage users

People join an organization by invitation only. Administrators send those invitations, set what each person may do, and close accounts that should no longer have access.

Invite someone

  1. Open “Organization” and then the “Users” tab — it is visible to administrators only.
  2. Select “New User” and fill in a first name, last name and work email.
  3. Choose the role — Basic or Admin — and select “Send invitation”.

The invitation arrives by email. Opening it asks the new member to set a password, and from that moment they are active; until then the list shows them as pending.

What the roles can do

Three roles exist, and each is a superset of the one below it:

  • Admin — everything, plus the parts nobody else sees: users, organization settings, billing and exports.
  • Basic — the dashboard, workflows, and requests they take part in. The everyday role for a colleague.
  • Requester — only their own requests. This role is not offered when inviting; it is what outsiders become when they submit through a public workflow.

The user list searches by name and email and filters by status, role and when the account was created.

An account is active once the invitation has been accepted, pending until then, and blocked when access has been withdrawn.

Change a role or close an account

Opening a person shows what an administrator may change: their role and their account status. Names and avatars belong to the person and are edited in their own profile.

“Block user” withdraws access immediately without deleting anything they have done — their decisions and requests stay in the history. Unblocking returns the account to pending until they sign in again. You cannot change your own role or block yourself, so an organization can never be left without an administrator.

Good to know. There are no organization-wide teams or groups. Approvers are grouped inside each workflow’s approval flow, which keeps “who signs off on expenses” next to the expense workflow rather than in a separate directory.
